The specifi c options available may differ by application, but most Microsoft Offi ce applications have similar options. The fi rst option allows the user to choose how much of the document to print. Depending on which application is printing, settings may include printing the entire document printing specifi c pages, slides, or workbooks or printing only what is selected in the document. To collate is arranging multiple copies of a document so all pages are in the correct order. For example, if two copies of a fi ve-page document are printed, collating prints pages one through fi ve and then one through fi ve again instead of printing two copies of page one, two copies of page two, and so on. There is an option to print collated or not collated. The page layout is how the document will be placed on the sheet. The layout can be portrait or landscape, as shown in Figure 4-8. Portrait layout or orientation is when the long edge of the paper is on the sides. Landscape layout or orientation is when the long edge is on the top and bottom. When a layout option is selected, the preview is updated to refl ect it. The paper size should be set to the size of paper that is loaded in the printer. In some cases, such as with Excel, the document can be scaled down (reduced in size) to fi t better on the selected paper size. The Fit Sheet on One Page option in Excel is handy if the spreadsheet is larger than one page. Bias-Free Language As you go to work or school each day, you may encounter others who categorize people using biased words and comments. Using age, gender, race, disability, or ethnicity as a way to describe others is unethical and sometimes illegal. Use bias-free language in all of your communication to show respect for others.
