Click the Check for Issues button in the Info backstage view, and then click Inspect Document in the drop-down menu. The Document Inspector dialog box is displayed in which you can choose which metadata to look for in the document. If any of the selected metadata are found, you are given the opportunity to remove the metadata. When the file is saved again, these properties will no longer be included in the file. In addition to inspecting a document for the purposes of removing metadata, document properties can be inspected for accessibility and compatibility issues. Performing this inspection will differ depending on whether the user is operating with Offi ce 365 or standard Microsoft Offi ce. If using the cloud-based Offi ce 365, click Review Check Accessibility. If using standard Microsoft Offi ce software suite, open the Document Inspector dialog box as previously described for metadata removal, but select Check Accessibility instead of Inspect Document. This same process can be used to check for compatibility issues by selecting Check Compatibility. Offi ce Options Each Microsoft Offi ce application has various options that can be set to match more closely how a user prefers to work. For example, the number of recent documents displayed on the opening screen can be changed. To change options, click File Options to open the Options dialog box. Settings made in the Options dialog box affect the entire Offi ce application, not just the document that is open. The commonly changed settings are found in the General, Proofing, Save, and, in Microsoft Word, Display categories. To display the settings in a category, click the category name on the left side of the Options dialog box. General The General category contains choices the user can make related to the user interface, personalizing the application, and startup options. This includes the display of the mini toolbar when text is selected, showing a live preview when text is edited, permitting the display of screen tips, and entering a name for the user. To display the mini toolbar or show a live preview, check the corresponding check box. There are three choices for how screen tips are displayed. The user name and initials can be entered in the corresponding text boxes. These are used as the document’s author name, for marking changes, and inserting comments. Proofi ng The Proofing category contains options for how the software helps the user correct mistakes. Clicking the AutoCorrect Options… button displays a dialog box for entering items to automatically change, as shown in Figure 4-26. When the user enters something that matches an item in this dialog box, the specifi ed correction is automatically made.
