Common Features and Functions
The interface of each application in a suite is similar. This is to allow
a user to learn basic commands and features once instead of individually
for each program. For example, each program in the Microsoft Office suite fi
contains the
Quick Access
toolbar. It contains the Save, Undo, and
Redo
or
Repeat
buttons in each program of the suite. The
Quick Access
toolbar is
always displayed above the ribbon in the Microsoft Office suite and can fi
be customized by right-clicking the toolbar and selecting
Customize the
Quick Access Toolbar
from the shortcut menu.
Basic Option Settings
Microsoft Office applications have common basic option settings that
the user can adjust. These options are found in the backstage view, which
is displayed by clicking the
File
tab in the ribbon. Click
Options
on the
left-hand side of the backstage view to open the
Options
dialog box.
In the
Options
dialog box, click
General
on the left-hand side. General
options include choosing interface, personalization, and startup options.
For example, the mini toolbar that is normally displayed when text is
selected can be disabled. Also, you can enter your name and initials so
tracked changes will be recorded as made by you.
Click
Proofing
on the left-hand side of the dialog box. There are
several check boxes on this screen that allow you to set what is checked
or ignored during a spelling and grammar check. The
AutoCorrect
Options…
button opens the
AutoCorrect
dialog box for making settings
on automatic spelling corrections.
Click
Save
on the left-hand side of the dialog box. The options on this
screen allow you to select how often the file is automatically saved, where
it is saved, and in which format. To change the default file format, click
the
Save files in this format:
drop-down list. To change the location of auto
recover files, enter the path in the
AutoRecover file location:
text box.
Insertion Point
The insertion point is the location where text or images will be
placed within the document. It appears as a vertical line within the
document. To avoid errors, it is important to be aware of the location
of the insertion point before adding text or images. The insertion point
appears the same in all Microsoft Offi suite applications. fice
Ribbon Interface
The ribbon is the main command interface for the Microsoft Offi fice
suite of software. It consists of tabs, each containing commands arranged
in groups, as shown in Figure 4-2. The name of each ribbon indicates the
type of commands it contains. The groups on each tab contain similar
or related commands. To activate a command on the ribbon, click the
command button using the mouse.
In Microsoft Offi 2016, each application contains the fice File, Home,
Insert, and
Review
tabs in the ribbon. Other tabs will be present,
