in a format that can be read by earlier versions of Microsoft Word. In
addition, Microsoft Word documents can be saved in other formats. A
popular format is portable document format (PDF). Documents saved
in PDF format have all text and graphics intact, but cannot be edited by
the PDF-reader software. Files can also be saved as Extensible Markup
Language (XML) documents, which are used for web pages. It is also
possible to save Word files into a format that can be read by OpenOffice,
an open-source word-processing program. Also, Word files can be saved
as plain text with the
.txt
extension. This is the most portable format since
any other software that can read text can read this format.
Launching Microsoft Excel
To launch Microsoft Excel, click the
Excel 2016
icon in the
Start
or
Apps
menu. Wait for the program to load and display the startup screen.
Excel 2016 begins by presenting the user with the choice to open a
spreadsheet, begin a new blank spreadsheet, or begin a spreadsheet based
on a template.
A spreadsheet is a special type of document in which data are
organized in columns and rows. The individual box where a row and
column intersect is called a cell. When a cell is selected, its border is
thicker than normal. This is called the active cell. Text or numbers that are
entered are placed in the active cell.
Microsoft Excel is able to save spreadsheets in a variety of file
formats. As with Microsoft Word, Microsoft Excel can save spreadsheets
in a format for earlier versions of the software. Microsoft Excel can also
save files in PDF, XML, and text formats. Microsoft Excel files can be
saved for the OpenOffice spreadsheet function as well. Another popular
format is called comma-separated values (CSV). It is the most portable
format for copying spreadsheet data into other applications.
Launching Microsoft PowerPoint
To launch Microsoft PowerPoint, click the
PowerPoint 2016

the
Start

startup screen. PowerPoint 2016 begins by presenting the user with the

presentation based on a template.
A presentation contains individual slides used to communicate
information to an audience. Each slide may contain text, images, sounds,
tables, or other information. The presentation is played back as a slide
show.
Microsoft PowerPoint is able to save spreadsheets in a variety of file
formats. Files can be saved in a format for earlier versions of the software.
Files can also be saved as PowerPoint Show (PPS) files, which allows
sharing with others who do not have Microsoft PowerPoint. Less-popular
formats for presentations include PDF, XML, and text files. Files can also
be saved in the OpenOffice format.
