In addition to inspecting a document for the purposes of removing
metadata, document properties can be inspected for accessibility issues.
Performing this inspection will differ depending on whether the user is
operating with Office 365 or standard Microsoft Office. fi If using the cloud- fi

Accessibility. If using standard
Microsoft Offi software suite, open the fice
Document Inspector
dialog
box as previously described for metadata removal, but select
Check
Accessibility
instead of
Inspect
Document. This same process can be used
to check for compatibility issues by selecting
Check
Compatibility.
Offi ce Options
Each Microsoft Offi application has various options that can be fice
set to match more closely how a user prefers to work. For example, the
number of recent documents displayed on the opening screen can be
changed. To change options, click
Options
in the
File
tab to open the
Options
dialog box. Settings made in the
Options
dialog box affect the
entire Offi application, not just the document that is open. The commonly fice
changed settings are found in the General, Proofing, Save, and, in
Microsoft Word,
Display
categories. To display the settings in a category,
click the category name on the left side of the
Options
dialog box.
General
The
General
category contains choices the user can make related to
the user interface, personalizing the application, and startup options. This
includes the display of the mini toolbar when text is selected, showing
a live preview when text is edited, permitting the display of screen tips,
and entering a name for the user.
To display the mini toolbar or show a live preview, check the
corresponding check box. There are three choices for how screen tips are
displayed. The user name and initials can be entered in the corresponding
text boxes. These are used as the document’s author name and for
marking changes.
Proofi ng
The
Proofing
category contains options for how the software helps
the user correct mistakes. Clicking the
AutoCorrect Options…
button
displays a dialog box for entering items to automatically change, as
shown in Figure 4-23. When the user enters something that matches an
item in this dialog box, the specifi correction is automatically made. fied
For example, a default entry is “teh.” When the user enters this, it will be
automatically changed to “the.”
In addition, this category allows the user to decide how to handle
certain spelling errors. The user can choose to have the application fl ag fl
repeated words, ignore uppercase words, or ignore words with numbers.
