This may be an entire column, selected adjacent cells within a column, or multiple columns. Then, click Home Editing Sort & Filter in the ribbon, as shown in Figure 4-13. In the drop-down list that is displayed, click Sort smallest to largest to sort in ascending order or Sort largest to smallest to sort in descending order. Note that ascending order is Sort A to Z and descending order is Sort Z to A. Creating and Sorting a List Creating lists is a basic skill to have for creating documents. Many documents contain lists, such as sales data, addresses, names, or many other items. 1. Launch Microsoft Word, and begin a new blank document. 2. Enter the last names of fi ve of your friends, each on a separate line (paragraph). 3. Move the cursor to the left of the fi rst name in the list until it changes to an arrow, click and hold, and drag down to the last line in the list. When the entire list is highlighted, release the mouse button. The list is selected. 4. Click Home Paragraph Bullets in the ribbon. The list is converted to an automatic bul- leted list. 5. Click Home Paragraph Sort in the ribbon. The Sort Text dialog box is displayed. 6. In the Sort by area of the dialog box, click the left-hand drop-down arrow, and click Paragraphs in the list. This tells Word that the breaks between items are indicated by returns (paragraphs). 7. Click the right-hand drop-down arrow, and click Text in the list. This tells Word to sort letters. 8. Click the Ascending radio button. This tells Word to sort the list in A to Z order. 9. Click the OK button to sort the list. 10. Double-click the fi rst name in the list to select it. 11. Hold down the [Ctrl] key, and double-click the third name in the list. 12. Hold down the [Ctrl] key, and double-click the last name in the list. The fi rst, third, and fi fth names should be highlighted to indicate they are selected, but the second and fourth names should not be selected. Bullets Sort Hands-On Example 4.3.1
