130 Introduction to Microsoft Offi ce Copyright Goodheart-Willcox Co., Inc. Adding Shapes and Text Boxes Drawing shapes are basic forms created in the software, such as rectangles and circles. Shapes are a basic type of line art created directly within the software application, not imported or inserted from another source. Text boxes are rectangles that are programmed for text and can be moved and sized anywhere on the page or slide. To insert a text box in most Microsoft Offi ce programs, click Insert Text Text Box on the ribbon. In Microsoft Word, doing so prompts the user to choose a style of text box from a drop-down menu that is displayed. Locate and size the text box by dragging it and using the handles to size it. Highlight the default text and substitute it with your words. To set up a text box in Microsoft PowerPoint, click Insert Text Text Box on the ribbon. Then, draw a text box as desired directly on the slide and begin typing. Locate and size the text box by dragging it and using the handles to size it. Any shape with space inside can be used as a text box, as shown in Figure 4-16. Click Insert Shapes for a comprehensive drop-down menu. After clicking on the desired shape, the cursor will change to a plus sign. Drag the cursor to defi ne the object’s size. You can then move or rotate it, as can be done with all 2D images. To add text inside the shape, select the shape and right-click inside the shape. Choose Edit Text from the drop-down menu that appears and type your text. You can edit the text as well as change the font and size of the text. Inserting SmartArt SmartArt is a collection of automatic pre-designed layout schemes. As with all the features mentioned in this chapter, SmartArt graphics can be used in all the Microsoft Offi ce applications except Access. Choose this feature if you want to improve the communication in a part of a document or presentation. Use SmartArt to emphasize a list, add simplifi cation to a complex topic, or show an interesting relationship between two or more entities. For example, SmartArt can be used to add visual interest to a list of information. The following is a bulleted list of major-league baseball teams in the American League East division. • Baltimore Orioles • Boston Red Sox • New York Yankees • Tampa Bay Rays • Toronto Blue Jays Figure 4-17 shows how the same list looks displayed as a Vertical Curved List SmartArt graphic.
